TEAM STORES START WITH DESIGN
START WITH DESIGN
VC builds and manages custom Team Stores that simplify ordering and reduce admin for organizers. Our team of gear specialists and designers makes the process clear, efficient, and easy from start to finish.
Step 1: Complete a VC Design Brief and send along any logos or visual references to and send any logos and visual designs ideas to info@vcultimate.com.
Step 2: We’ll review your brief, follow up with any questions, and make sure you have the details you need on the styles you’ve selected, including product information and available variations.
Step 3: Our design team gets to work. Unless a rush timeline has been requested and confirmed, you can expect your first concept within 2–7 business days.
TEAM STORE SET UP
Setting up your VC Team Store is simple. Tell us what you’d like to offer, and we’ll guide you through product options, build your lineup, and handle the setup.
We’ll help you choose a mix that works for your team and meets any product minimums. Your sales rep will outline requirements, but there’s flexibility: the same spot sublimated logo can be used across multiple products, and the same screen-printed logo can be applied to up to three styles (for example, a hoodie, long sleeve, and t-shirt). Jersey and shorts prints are produced separately, even if the artwork is the same.
ORDERING PERIOD
Once your store is approved, we’ll send you simple instructions to share with your players so ordering can begin.
You can also choose to open your store to friends, family, and fans. Just note that all orders will be bulk shipped to you for distribution unless alternate arrangements are made.
If you would like to open up your store for fundraising, consider offering a Fan Shop at the same time.
SHIPPING OPTIONS
Choose either bulk shipping (all orders sent to one address) or individual shipping (orders sent directly to each person). Team Stores must use one method and cannot mix both.
TEAM STORE COSTS
A small handling fee is applied to team store products to support credit card processing and the additional time required to sort and pack individual orders before bulk shipping.
Handling Fee:
- $0.75 per item on products under $25
- $1.95 per item on products over $25
TEAM STORES & DISCOUNTS
If uniforms in the store already include team pricing, additional promo codes or discounts can’t be applied to those items.
LIVE REPORTING & SHOP CLOSING
You’ll have access to live reports that update as orders come in, so you can track roster completion, monitor progress toward minimums, and potentially move orders to production sooner.
Once the order window closes, we’ll send you a final summary of all orders and outline any next steps, including optional late add-ons before production begins.

FAQ
What is the best reason to do a team store?
Team stores make it easier for captains/organizers to get uniform orders collected and paid for by a deadline. No more chasing after players for sizes or payment - a VC team store takes care of it all.
When should you not do a team store?
When should you not do a team store? Delivery timeline. Even the most organized teams will need an extra 1-2 weeks to organize a team store. Why?
- 3D webmocks of each product need to be created
- Setting up the dedicated team store on the VC website
- Sending the information to players and making sure they order before the deadline
- 1-2 extra days for us to sort/pack your team store by order when everything is ready to ship
What is the difference between a Team Store and a Fan Shop?
TA Team Store is primarily meant to offer your players a direct online uniform and swag ordering opportunity.
A Fan Shop is meant to offer your community of fans the chance to support your team by ordering team apparel.
What apparel can be offered in a Team Store or Fan Shop?
Team uniform aspects such as your jerseys and shorts, as well as tank and long sleeve versions of your jerseys.
A Fan Shop is meant to offer your community of fans the chance to support your team by ordering team apparel.
With our new Custom Disc Program we can now also add team discs to every Team Store & Fan Shop - with no minimum order requirements.
Can you cancel and refund orders for products that don't meet minimums?
Unfortunately, no. Your team must commit to submitting a top-up order for aspects that don’t reach minimums before it is added to your team store.
The reasons for this are: It is a time investment on VC's part to prepare proofs and 3D webmocks for each product, and to set them up in the store. Canceling and refunding orders complicates the reporting and order processing process internally, creating significant extra work for the VC team, as well as a goodwill burden for your fans/our customers. In the end, when a customer order is canceled, it reflects poorly on VC.
Does VC offer complimentary design services?
Yes, and our designers are the best around! We do have some limitations around design, as some teams (not yours!) will take advantage of our designers' time or request concepts that aren’t well flushed out.

How does entering names and numbers work? What if there's a typo in a player's name?
Each product offered will have the appropriate fields to enter names and numbers at the time of order. We can make these fields required for submission if players' names and numbers are mandatory.
It is your team’s responsibility to know what number each player is; changing numbers after ordering can lead to delays and mistakes.
If a player enters their name incorrectly we will offer them a 30% discount on a remake of the affected products as a courtesy. If the typo is VC’s internal error, a remake will be sent as soon as possible at no cost.
Can a Team Store be open indefinitely?
A bulk team store must have an end date so that we can compile and submit your orders to production at the same time, and ship them to your team contact together. The ideal time for a team store depends on how actively organized your team is; some teams have been able to close their stores in 48 hours, while others require a lot of wrangling and can take weeks.
It’s important to keep in mind that the production timeline for your uniforms does not start until after your team store is closed, reviewed and submitted for production - so the longer the ordering window, the later the delivery.
However, if your team has a proven market for apparel, we can keep Fan Shops with direct-to-customer ordering open indefinitely on products that do not have hard order minimums (like replica short sleeve jerseys) and hats/casual apparel with patches.
FAN SHOPS
START WITH DESIGN
A VC Fan Shop lets you offer any item we make and have supporters order individually and raise funds for your team.
If your Fan Shop will feature the same gear as your Team Store, you can skip this step and we’ll use the approved designs.

Step 3:Our designers get to work. Unless a rush timeline is requested and approved, your first concept arrives within 2–7 business days.
FAN SHOP SET UP
Once designs are approved, we’ll build your shop and handle the setup.
Your sales rep will help you choose the right mix of fan gear and make sure your lineup works with any product minimums.
Product minimums and restrictions will be outlined by your sales rep; but the good news is:

FAN SHOP SHIPPING
Fan Shops can only offer individual shipping (orders sent directly to each customer), and are charged standard shipping at checkout. Bulk shipping is only available on Team Stores.
FAN SHOPS & DISCOUNTS
Supporter items are typically listed at full price. Customers may use personal discount codes unless fundraising pricing has already been built in or specific restrictions are in place.
FAN SHOP FUNDRAISING & COMMISSION
Fan Shops are designed to generate funds for your team. The standard commission rate is 15%, and we’ll work with you to set pricing that supports your fundraising goals while keeping items accessible for supporters.
FAN SHOP COSTS
Limited-time Fan Shops include a small handling fee to cover payment processing and the added sorting and packing required for individual orders:
- $0.75 on items under $25
- $1.95 on items over $25
These fees are built into your published Fan Shop pricing, so there are no surprises for customers at checkout.
FAN SHOP MINIMUMS
If any item in your shop doesn’t reach its minimum, your team agrees to place a top-up order before it goes live. This helps avoid canceled items, refunds, and extra delays, and ensures a smooth experience for your supporters.
If your Team Store is running at the same time as your Fan Shop, total units across both stores can be combined to meet minimums.
LIVE REPORTING & SHOP CLOSING
You’ll have access to live reports that update as orders come in, so you can monitor progress toward minimums and overall shop performance throughout the order period.
Once the shop closes, we’ll send a final order summary and confirm any required top-ups before production begins.

HOW FAN SHOPS DIFFER FROM TEAM STORES
Shipping:
Fan Shops are set up for individual shipping, with each supporter entering their own address and paying shipping at checkout. This differs from most Team Stores, which often use bulk shipping to a single team contact for distribution.
Pricing:
Fan Shop items are listed at retail pricing, with your team earning a commission on each sale (generally 15%). Team Stores, by contrast, are usually set up with team pricing for players rather than fundraising margins.
Product Offering:
Fan Shops are usually more curated than Team Stores. We recommend a focused selection of proven items that are likely to meet minimums and appeal to supporters. In most cases, Fan Shops feature gear that has already been produced for the team, rather than introducing entirely new or one-off products.
Timing:
Fan Shops often run after teams have received their gear or around key moments in the season when interest from supporters is highest, whereas Team Stores are tied to roster ordering and uniform cycles.
LEAGUE AND PARTNERS SHOPS
VC is proud to set up League and Partner Shops for sponsored leagues and organizations. While Team Stores and Fan Shops are usually built for teams and run for set periods with made-to-order gear, this program supports a broader, more permanent collection of branded merchandise for your community.
PLANNING & PRODUCTION
Your VC sales rep will work with you to determine the best structure for your League or Partner Shop based on the size of your organization and the expected demand for branded gear. Together, we’ll map out the right mix of in-stock, made-to-order, and pre-order items, and decide how often new products should be introduced.
We generally recommend a phased approach rather than launching everything at once. Offering too many products at the same time can create decision fatigue and often results in lower overall sales. Rolling out a smaller selection of items each quarter or around key points in the season helps keep interest high and makes the shop easier for members to navigate.
Ongoing promotion is key to success. Consistent reminders in registration emails, newsletters, social media, and league communications help direct members and fans to your shop and keep new releases top of mind. A single announcement is rarely enough; a steady presence across your channels will lead to stronger engagement and better results over time.

MADE-TO-ORDER PRODUCTS
Made-to-order items allow you to expand your offering without committing to inventory. This is typically the backbone of a League or Partner Shop and works well for phased releases throughout the year. VC covers initial design work and setup for customization elements like transfers, patches, and spot sublimation.
Popular options include:
- Premium cotton t-shirt (in 1-2 colours) – full colour digital transfer logo(s)
- Cotton Hoodie – full colour digital transfer logo(s)
- Cotton Crewneck – patch
- Hats (Fives Panels, Meshbacks, Bucket and Boonies) – patch
- VC tanks, jerseys, long sleeves and Revolution hoodies – spot sublimation on white garments
For any stocked patch-based items, an initial order of 100 patches is required (cost will be invoiced to the league).


PRE-ORDER PRODUCTS
Higher-cost or slower-moving items can be offered as limited pre-orders to test demand. These are best introduced as occasional drops tied to key moments in the season. Examples include:
- Training Pants
- Windbreakers
- Fully sublimated hoodies and jackets
We typically aim for 15–25 units per style, though production can often move forward with as few as 5 once designs are complete. Many partners include staff or board orders to help reach minimums and support successful launches.

STOCKED PRODUCTS
For larger leagues with broader, multi-year partnerships, we can explore a limited line of in-stock products designed and produced at VC’s cost and risk.
To keep the shop approachable and easy to navigate, we recommend starting with a small core of in-stock items so members and fans can receive gear right away. Most partners begin with 1–3 premium fully sublimated styles, such as:
- Revolution hoodie
- Short sleeve jersey
- Long sleeve jersey
This core collection creates a strong foundation for the shop, with additional products introduced over time rather than all at once.
